About the Outbound Fax Queue

The Outbound Fax Queue is where you regularly monitor outgoing faxes to ensure they are successfully delivered to their recipients and resolve those that are not

Access Outbound Faxes

  1. Click the Worklist Queues menu.

  2. Select Outbound Faxes.

The outbound faxes for today display.

Filter Outbound Faxes

The list can be filtered by Patient, Sender, Status, Date Range, and Patient Treatment Location.

To filter by Patient Treatment Location, click MORE, select the desired location, and then click SAVE. If you want to filter for a fax that is not associated with any location, choose Missing Location only.

The list updates based on your filter selections. To view a document, select an outbound fax, and it will appear in the right pane.

Resend Outbound Faxes Based on Failure Status

When an Outbound Fax fails to transmit the document, you may need to Resend it based on the failure status reason. 

Outbound faxes can be filtered by the following statuses: Pending, Success, and Failure.

  • Failure displays faxes that couldn't be sent for various reasons. You can Resend a failed fax after fixing any issues, like correcting the external provider's fax number.

  • Success displays faxes that have been successfully sent.

  • Pending displays faxes that are in the process of being sent.

The Status column lists the current status of the fax and the reasons for failed faxes. Refer to the table below for a list of common failures, their causes, and recommended resolutions.

Voice

Indicates that a voice responded to the fax call.

Check the accuracy of the fax number. If it is correct, select the fax and click RESEND. If it is incorrect, update the external provider's fax number and then create a new fax.

Dialing Error

Occurs due to a rejected call, call barring, lack of dial tone, unexpected disconnection, or an invalid number.

Check the fax number. If correct, select it and click RESEND. If incorrect, update the external provider's fax number and create a new fax.

Blocked

When a fax number is identified as a voice line, or no response is received after five consecutive calls.

Call the number. If it's a voice line, refer to the previous voice error for help. If you hear a fax tone, contact Tech Products Support to unblock the number.

Fax number is forbidden

The fax number should not be used.

Update the fax number for the external provider and then create a new fax.

Missing fax number

The fax number for the external provider has not been provided.

Update the fax number for the external provider and then create a new fax.

Busy

The fax system encounters a busy signal.

 

To resend a fax, select it and click RESEND. If it’s still busy after several attempts, check the fax number. If it’s correct, click RESEND again. If it’s incorrect, update the fax number and create a new fax.

Expired

The fax has been in PENDING status for more than 10 hours.

If the number is correct, click RESEND again. If it’s incorrect, update the external provider's fax number and create a new fax.

...due to system error...

The fax could not be sent because of a system error.

RESEND the fax later. If the error continues, contact iKnowMed Technology Product Support.

Conversion error

When sending an outbound fax, the PDF is converted to a TIFF file, but some Adobe versions don't support this conversion.

You may need to downgrade your Adobe version to fax scanned PDFs from iKnowMed.

Remove Outbound Faxes

To clear failed faxes that have been resolved by creating a new fax, such as when resolving a fax with a status of Missing fax number:

  1. Select the outbound fax.

  2. Click REMOVE.
